Refund & Cancellation Policy

This Refund & Cancellation Policy explains how refunds, cancellations and service reversals are handled by EFORMX Digital Solutions Pvt. Ltd.. By using our platform or services, you agree to the terms described in this policy.

1. General Policy

EFORMX provides IT services, software systems, verification modules and secure digital infrastructure. Since services involve digital delivery, verification processes and technology systems, refunds are handled in accordance with the rules below.

All refund or cancellation requests must comply with RBI guidelines and the policies of authorized payment gateway partners integrated with our platform.

2. Service Cancellation Rules

You may request cancellation of a service if:

  • The service has not been initiated or processed
  • Your payment was deducted but the service did not start
  • A duplicate payment was made by mistake
  • There was a technical error on our platform

Once a service has been started, delivered, verified, or consumed digitally, it cannot be cancelled.

3. No Refund Conditions

Refunds are NOT applicable in the following cases:

  • Service already processed, delivered or completed
  • Incorrect details provided by the user
  • Failure due to user-side technical issues
  • Verification failure due to mismatch in user identity
  • Misuse or fraudulent activity detected
  • Delay caused by third-party APIs or government servers

4. Refund Eligibility (Approved Cases)

Refunds may be approved if:

  • Payment was deducted but service did not start
  • Duplicate payments were made
  • A confirmed technical error occurred during processing
  • Transaction failed but amount was debited

All refund requests require valid proof such as transaction ID, payment receipt or screenshots.

5. RBI-Authorized Refund Processing

EFORMX processes refunds strictly through RBI-authorized, PCI-DSS compliant payment gateway systems such as:

  • Razorpay
  • Cashfree
  • PayU
  • Paytm

Refunds are executed using the official Refund API or Payout API of the respective gateway. This ensures:

  • Secure refund processing
  • Full traceability and audit logs
  • RBI guideline compliance
  • Fast and verified settlement

No offline refunds, cash refunds or manual refunds are permitted. Only digital, gateway-verified refunds are processed.

6. Identity Verification Before Refund

For security reasons and to prevent fraudulent refund claims, EFORMX may require:

  • Identity verification (KYC/e-KYC)
  • Bank account verification
  • Email or mobile OTP verification

Refunds will be initiated only after the successful verification of the request.

7. Refund Processing Time

Once approved, refunds are normally processed within:

  • 2–7 working days (gateway processing time)
  • Up to 10 working days depending on the user's bank

Delays caused by banks or payment gateways are outside the control of EFORMX.

8. Chargebacks & Disputes

If a user initiates a chargeback without contacting EFORMX, their account may be suspended until the dispute is resolved.

We encourage users to contact support first for faster resolution.

9. Cancellation by EFORMX

EFORMX reserves the right to cancel or block service if:

  • Fraudulent or suspicious activity is detected
  • Invalid identity or documents are provided
  • User violates terms, policies or legal regulations

If cancellation is done by EFORMX for a valid reason, refund eligibility will be evaluated based on service usage and verification logs.

10. Non-Refundable Services

The following digital services are strictly non-refundable:

  • Services involving validation, verification or online checks
  • Services dependent on third-party or government APIs
  • Any instantly delivered digital service
  • CRM usage charges (per minute or per user billing)
  • Custom development or project-based work

11. Changes to This Policy

EFORMX may update this policy at any time to comply with laws, payment gateway rules or business requirements. Continued use of the platform implies acceptance of updated terms.
